Job Summary:

Reporting to the Legal Assistant and Marketing & Business Development team, the core responsibilities of this role are to provide administrative assistance, file management and project support to both teams.

Job responsibility:

Legal Assistant Support:

  • Assist our team of Lawyers, Law Students and Law Clerks in collaboration with the Legal Assistants and other support teams.
  • Provide administrative legal assistance such as:
  • Assist with the processing of File Management requests:
  • Assist with file closing procedures.
  • Assist with file searches and file tracking requests.
  • Assist with the launch of new project initiatives as needed.
  • Assist with data cleanup of inactive, pending, open and closed matters.

Marketing & Business Development Support:

  • Assist our Marketing & Business Development team by providing day-to-day administrative support for any and all programs, including digital marketing, market research, media relations, advertising, sponsorships, directories and rankings, development of marketing materials and additional tasks as assigned.
  • Assist with updating our website and intranet using our content management system.
  • Assist with data cleanup for our Customer Relationship Management (contact system).
  • Assist with research and reporting of data, trends, competitors, events, and media.
  • Assist with organizing internal and external events, tickets, and/or client gifts as it relates to relationship building.
  • Assist with applying brand styles and guidelines to internal materials (i.e. PowerPoints, Word Documents, Newsletters, etc).
  • Assist with organization of internal documents and files in our document management system.
  • Other duties as and when required.

Experience & Qualification requirements:

  • Experience in an office environment, in an administrative role will be considered an asset.
  • Open to all college or university programs. A business administration course/program or Law Studies course/program will be considered an asset.

Additional information:

Work Arrangement / Hours of Work: Hybrid work arrangement in place. It is expected this position will work 9:00 am – 5:00 pm, Monday to Friday while working 3 days in the office (Wednesdays being a mandatory in-office day). Please note this arrangement is in accordance with the firm’s current Hybrid Work Policy, which may be amended at any time at the sole discretion of the firm.
