Job Summary:
Help us fuel meaningful impact through accurate, efficient, and donor-centred data management.
The Database Manager ensures the accuracy, integrity, and compliance of Pathways’ donor database and gift processing. You’ll manage tax receipting, pledge reminders, and acknowledgments, while serving as the first point of contact for donors with friendly and responsive support.
You’ll also lead reporting, system integrations, and process improvements to make fundraising operations efficient and scalable. By combining technical expertise with a donor-centred approach, you’ll strengthen relationships with supporters and drive the organization’s fundraising success.
Job responsibility:
- Accurately process and reconcile donations across all channels, ensuring CRA compliance and donor record integrity.
- Prepare and issue charitable tax receipts in a timely, accurate manner.
- Manage and maintain donor data to support fundraising campaigns, reporting, and segmentation.
- Lead data preparation and reporting for annual audits in partnership with Finance.
- Conduct regular data validation and quality checks to ensure accuracy and reliability.
- Oversee CRM integrations, database security, and external giving portals (e.g., Benevity, CanadaHelps).
- Identify opportunities to streamline and automate gift processing, acknowledgments, and reporting.
- Provide friendly, responsive support to donors, connecting inquiries to the appropriate team member when needed.
- Collaborate with internal teams to implement and document best practices for donor data management.
Experience & Qualification requirements:
- 5+ years of experience in gift processing and database management, with advanced proficiency in Raiser’s Edge, Omatic Software, and Excel.
- bCRE Professional Certification (or equivalent), or completion within six months of hire.
- Experience managing tax receipting, pledge reminders, and donor acknowledgments, with a focus on timely, donor-centred support.
- Skilled in CRM integrations, data quality assurance, reporting, and process improvement for efficient, scalable fundraising operations.
- Strong problem-solving, communication, and interpersonal skills; detail-oriented, proactive, and trustworthy with sensitive donor information.
- Bilingualism (English/French) would be a great asset.
